The biggest cost of an office move usually isn't the move itself, it's the week of reduced productivity around it. Most of that loss is avoidable with the right sequencing.
Start with a zone map, not a full-floor plan. Break the relocation into zones that can move independently, so half the team keeps working while the other half transitions. This is almost always possible even in open floor plans, if IT and furniture crews coordinate zone by zone.
Move IT infrastructure before furniture, not after. Network drops, workstation setups, and connectivity testing should be complete at the new site before desks and chairs arrive, so day-one setup for staff is plug-and-work rather than a multi-day scramble.
Schedule the physical move for a Thursday evening through Sunday when possible. It gives your team a working Monday at the new site instead of arriving mid-chaos on a weekday morning.
Communicate the zone schedule to staff at least two weeks out, with a simple one-page map of which zone moves when. Most of the frustration in office relocations comes from uncertainty, not the move itself.
